Policies

Payment

  • Monthly packages are billed in advance on the 1st, by automatic ACH (cards accepted).
  • Cleanups: 50% deposit, 50% on completion, before final reports are released. Projects over $4,000: 40% / 30% / 30%.
  • Setups: 50% to start, 50% at go-live.
  • Hourly work is billed monthly or prepaid in 5-hour blocks (valid 6 months).
  • Work pauses if a payment is more than 15 days late.

Terms

  • Every engagement has a written engagement letter.
  • Monthly packages: 3-month initial term, then month-to-month with 30 days’ written notice.
  • Anything outside your package is quoted and confirmed in writing before I do it.
  • Prices are reviewed periodically, with 30 days’ notice of any change.

Your part

  • Send statements, receipts and answers by the 5th business day of each month. Late records move the close date back.
  • I send categorization questions once a month in one list.
  • If records stop for 60+ days, catching up is billed at cleanup rates.

Frequently asked questions

What kinds of businesses do you work with?

Any small business that runs on QuickBooks Online, or wants to. That includes service businesses, contractors and trades, restaurants and hospitality, real estate and property, staffing and payroll-heavy companies, retail and e-commerce, and owners with more than one company. My day-to-day experience is with complex, high-volume books, so most small businesses are well within my range.

Do you prepare tax returns?

No. I keep your books clean, reconciled and tax-ready, and I’m happy to work directly with your CPA or tax preparer so they get what they need without chasing you. Tax preparation, tax advice and legal advice are always outside my scope.

Do I need QuickBooks Online?

Monthly packages are delivered in QuickBooks Online. If you use something else or nothing yet, my QuickBooks Setup service gets you started. You own your QuickBooks subscription and your data, and you pay Intuit directly.

How do you count transactions?

A transaction is a line on your bank, credit card or loan statements: deposits, payments, transfers and so on. Packages are based on your monthly average, and we’ll confirm the count together before you sign up, so there are no surprises.

My books are months (or years) behind. Can you help?

Yes, that’s exactly what the Cleanup & Catch-Up service is for. It’s priced per month behind based on complexity, with a fixed, written quote before I start. Once you’re current, you can move to monthly bookkeeping.

Why is the Books Health Check paid?

It’s real work: a careful read-only review of your file so I can quote accurately instead of guessing. You get a written list of issues and a fixed-price quote, and the $250 is credited 100% toward cleanup or setup if you book within 30 days.

Is my financial information secure?

I use my own login to your QuickBooks file, never your password, and I won’t ask for your bank logins. Documents are exchanged through a secure method, not regular email, and I use multi-factor authentication on every account. Please don’t send Social Security numbers or account numbers through email or this website’s contact form.

What if my business grows or slows down?

If your average transactions run above your package limit for two months in a row, we’ll talk and move up a tier, with written notice first. If you stay below the lower tier for three months, I’ll offer to move you down.

Is there a contract?

Yes, a simple written engagement letter that spells out exactly what’s included. Monthly packages start with a 3-month initial term, then continue month-to-month with 30 days’ notice to cancel.

Do you work with clients outside Pensacola, FL?

Yes. I’m based in Pensacola, FL and work with businesses in the Pensacola area and anywhere in the U.S. remotely, using video calls and secure document sharing. My hours are by appointment, Central Time (CT).

How do I pay?

Monthly packages are billed in advance on the 1st of each month by automatic bank transfer (ACH); cards are accepted too. One-time projects start with a 50% deposit.
